Job Description:
The Department of Community Health and Family Medicine at the University of Florida seeks a Residency/Fellowship Program Coordinator I to serve as the primary administrative contact for the UF Sports Medicine Fellowship. This position manages the daily operations of the fellowship program and provides comprehensive support to faculty, fellows, and affiliated stakeholders while ensuring compliance with ACGME, GME, and University requirements.
Primary Responsibilities
Program Administration and Accreditation
Coordinate and oversee all aspects of fellowship administration in compliance with ACGME and GME requirements.
Manage accreditation activities, annual reporting, program evaluations, and site visit preparation.
Maintain program records, policies, procedures, and fellowship handbooks.
Coordinate fellow training requirements, examinations, certifications, and licensure activities.
Scheduling and Operations
Develop and maintain clinical, rotation, didactic, and athletic coverage schedules.
Manage fellow leave requests and ensure adequate coverage and compliance with duty hour requirements.
Coordinate educational conferences and maintain attendance and evaluation records.
Serve as the primary liaison among faculty, fellows, rotation sites, affiliated organizations, and the GME office.
Evaluation and New Innovations Management
Administer evaluations, procedure logs, curriculum assignments, and reporting within New Innovations.
Maintain confidential fellow records and support Clinical Competency Committee and Program Evaluation Committee activities.
Ensure timely completion of required faculty and fellow evaluations and annual surveys.
Recruitment and Marketing
Coordinate fellowship recruitment activities, including application review, interview scheduling, rank meetings, and Match participation.
Maintain fellowship websites and external systems, including ERAS, NRMP, and ACGME databases.
Communicate with prospective applicants and represent the program at recruitment events.
Financial and Administrative Support
Assist with budget development and monitor program expenditures.
Process travel requests, reimbursements, memberships, licensing fees, and purchasing activities.
Coordinate office operations and provide administrative support to fellowship faculty.
Continuing Medical Education and Scholarly Activities
Coordinate fellowship lectures and Continuing Medical Education activities, including speaker management, attendance tracking, and documentation.
Support quality improvement initiatives, scholarly activities, and research-related functions.
Collaborate with institutional partners to advance fellowship goals and educational initiatives.
Special Projects and Additional Responsibilities
Support departmental fellowship programs and special initiatives.
Coordinate alumni relations, graduation activities, and fellowship events.
Maintain program websites and social media content.
Perform other duties as assigned in support of departmental and fellowship operations.
Expected Salary:
$46,000 - $55,000; commensurate with education and experience
Required Qualifications:

In accordance with policy, prepares and assembles medical record documentation/chart for physician prior to patient visit. Responsible for ensuring that all elements of documentation are complete and accurate and must anticipate physician needs for patient visits by obtaining previous medical records and test results (both internal and external).
Enters the patient room with the physician/clinician during patient visit to capture and transcribe medical record documentation in real time using electronic medical record applications. Using appropriate medical terms and phrasing, documents the physician/clinician's communication with the patient and details of the visit in the electronic medical record, and performs other related clerical duties to increase physician/clinician effectiveness, efficiency, and productivity for improved patient flow and satisfaction. Under physician/clinician direction, updates patient history and other pertinent health information in the patient record and documents follow-up instructions.
Must interact in a sensitive and professional manner at all times with both internal (physicians, mid-level providers and other staff) and external (patients) parties. Must maintain strict confidentiality at all times and follow all University of Florida and Group Practice HIPAA and confidentiality policies. This role focuses on supporting research and program evaluation for Medicaid and the Children’s Health Insurance Program (CHIP), assessing the quality of care for beneficiaries.
The ideal candidate will have expertise in administrative healthcare data, Medicaid policy, and advanced analytical methods. Responsibilities include leading research projects, developing data-driven insights, collaborating with a multidisciplinary team of health policy researchers and economists, and authoring technical reports. Strong communication skills and a proven track record in data science are essential.
Research Development: Leverage expertise in healthcare administrative and clinical data to support the design and execution of research studies evaluating healthcare quality, access, and outcomes for the Medicaid population. Apply advanced analytical methods and predictive analytics to address key complex policy and operational questions. Lead development of study frameworks, analytic plans, and methodological documentation. Collaborate with multidisciplinary research teams to identify critical healthcare challenges and translate research objectives into executable analytic strategies.
