Job Description:

Office of the University Registrar (O.U.R.) is responsible for developing, administering, and monitoring academic policy, records management, registration processes, classroom and examination scheduling, enrollment planning and student information technology.

This position is part of the team that manages systems, data, course scheduling, curriculum, and social media in the Office of the University Registrar (OUR). Reports to the Associate University Registrar and is responsible for coordinating institutional research, university-wide data analysis requests, and statistical reports that support the Division of Enrollment and university administration. Data represents all areas of enrollment management, including prospective students, new admits, current and former students, graduates, courses and curriculum. Data related to virtually every aspect of the university. Manages and coordinates all resources used to support the department’s evolving social media presence. Utilize extensive knowledge of the academic process, experience of the student records system, attention to detail, exceptional analytical skills, and communication skills. Supervise several OPS employees and student assistants.

Coordinates university-wide institutional research and statistical requests. Conducts research to support institutional research and data gathering for university-required reports. Performs extensive and complex data analyses to provide appropriate statistical records to the Division of Enrollment Management including the offices of the University Registrar, Admissions, Student Financial Aid & Scholarships, UF Online, and other the university administrators. Data collection and research reach across all offices, including the need for merging and compiling data from various output sources. Coordinates the development of research designs, protocols, and administrative procedures based on statistical analyses. Provides statistical expertise to faculty and staff and serves as a liaison with UFIT personnel. Provides expertise, support, and coordination for updating web sites as well as creating and publishing data used by university administrators. Coordinates the checking and submission of all processes that require submission to outside entities such as the Clearinghouse, NCAA, degree vendor, etc.

Assists the Assistant University Registrar with the Board of Governor Education reporting requirements by reviewing and editing the student demographic data and the data related to enrollment, grades, degrees, classroom scheduling, and waivers, and stipends/fellowships that affect state fundable credit. Audits complex data files. Supervises several OPS employees and student assistants. Responsible for hiring, training, assigning daily work, and evaluating employees’ performance of assigned duties.

Manages and coordinates all resources used to support the department’s evolving social media presence. Participates in the creation of the vision and involvement in the development of social media content and initiatives consistent with departmental, divisional and university policies and standards. Assesses and works with assigned IT resources to implement automated communications via a variety of mechanisms, driven by the various student records databases and queries of the same. Coordinates creation of data sets used to drive email and text communications. Processes all email communications. Assess needs and determines creative ways to use various communication avenues to serve better OUR constituencies, including social media, email, video productions, and other technologies.

Assists with special projects and performs other duties as assigned.

Expected Salary:


Minimum Requirements:

Master’s degree in an appropriate area; or a bachelor’s degree in an appropriate area and two years of relevant experience.

Preferred Qualifications:
  • Knowledge and experience of the academic process
  • Familiarity with PeopleSoft student records system
  • Familiarity with comma separated files
  • Understanding of data formatting and Microsoft tools
  • Exceptional attention to detail
  • Exceptional analytical and communication skills
  • Familiarity with report writing software (Cognos and Tableau), Excel, Access, Word, Ultraedit, and PowerPoint
