Job Description:

Base Location: Portsmouth

Salary:£22,178 - £29,290 + a range of other benefits to support your family, finances and wellbeing.

Working Pattern: 12 month fixed term contract | Full Time

What is the Role?

We are looking for a skilled Workflow Coordinator to undertake a variety of day-to-day workflow tasks. You will be an integral part in ensuring that our 24/7 Customer Contact Centre operations run smoothly and are successful in supporting other business activities.

  1. The main purpose of the role is to maintain reporting and data analysis tools within the CCC, follow workflow procedures to ensure maximum efficiency, maintain files and records with effective filing systems, support the CCC when needed (call taking in peaks), and maintain new rotas accurately.
  2. Responsible for the collation and presentation of stats across the CCC down to individual agent level. Use of excel formulae is required to accurately and efficiently record stats and make them available to all those required while keeping to GDPR requirements.
  3. Ensure proper planning and resourcing is carried out across the CCC at all times. During storm conditions liaise with senior management and carry out extra resourcing to ensure we have adequate cover during these events. Monitor departmental shrinkage to account for shortfalls and make alternate plans where necessary.
  4. Overtime processing and reporting procedure. Assist in processing of overtime claims and carry out checks on final submissions to payroll.
  5. Carry out all tasks required of the Workflow Coordinators and act as a team member for the purposes of ensuring real time cover over rota period, all necessary resourcing is done, and all regular reporting is completed.

What do I need?

To be considered for this role, we would love you to:

  1. Be proactive with Microsoft Excel including formulas, proactive with Microsoft Office and Office 365 and have an understanding of reporting best practices.
  2. Have an understanding of demand forecasting without the support of a workforce management system.
  3. Have good analytical skills,
  4. Be able to work to unexpected urgent deadlines.
  5. Have excellent attention to details, be comfortable dealing with people and be able to carry out administrative duties with accuracy and speed.
