About - Department of Critical Care

The Department was established in January 2021 and is based in Parkville, in the Melbourne Medical School, with activity at all key hospital sites. The Department of Critical Care forms the focus for academic activities in anaesthesia, perioperative and pain medicine, emergency medicine and intensive care medicine for the University of Melbourne and the related precincts.
About the Role
The Academic Support Officer is one of a small team responsible for the administration of coursework programs in the Department of Critical Care, Melbourne Medical School. The Academic Support Officer will be responsible for the administration and support of a portfolio of subjects and related activities, within the Department in coordination with teaching staff, the School’s Academic Programs Manager, the Faculty Teaching and Learning Unit and University Services.
Responsibilities include:
- Provide administrative support relating to the student lifecycle, such as: course promotion, preparing and submitting subject and course change forms, student orientation, enrolments, timetabling, assessment, results, progression, accurate and timely results input, upload and certification, special consideration process management, database management, collection and reporting of student feedback, Canvas (LMS) support, reimbursement of course-related expenses, and responding to student and staff enquiries.
- Provide secretariat support to relevant Boards of Examiners and Teaching Committees and organise relevant meetings as required. Provide advice to these meetings on procedural matters.
- Keep abreast of current University academic policy and procedures and comply with local procedure and practice. Provide advice to academic staff and students on academic policy and procedure and identify where there is a gap in such policy and procedure and refer the matter to supervisor.
About You
You will possess excellent planning, people and time-management skills and the ability to give informed advice to Subject Coordinators, professional and academic staff and students, based on relevant policy and procedure. Your excellent attention to detail, commitment to accuracy, capacity to work both independently and as part of a team in a service-oriented environment, including the ability to exercise judgement and initiative will be highly valued.
You will also have:
- Completed an undergraduate tertiary qualification or an equivalent combination of relevant experience and/or education/training
- Highly developed administrative and organisational skills with the capacity to work both independently and as part of a team in a service-oriented environment, including possessing the ability to exercise judgement and initiative.
- Excellent planning and priority management skills with the ability to schedule and prioritise a range of tasks, manage time effectively and work to fixed deadlines in a changing environment.
- Excellent written communication skills including the ability to prepare reports, committee papers, agendas and minutes, correspondence and student information guides.
