About the Faculty of Medicine, Dentistry and Health Sciences
The Faculty of Medicine, Dentistry and Health Sciences is the University of Melbourne’s largest faculty generating revenue of $850m+ per annum in teaching and research revenues. The faculty is an appreciative recipient of significant philanthropic support for medical and health research and student scholarships. The faculty has strong strategic ambitions, and in turn dedicates a significant amount of resource to stimulating its aims in teaching, research and community engagement.
About the Role
The Faculty Gifts Coordinator is responsible for overseeing the effective application, administration and management of endowed and donated funds. The University has a fiduciary responsibility to properly handle donor-restricted gifts which requires rigorous oversight through the University business systems.
The role resides within the Faculty Planning and Performance team and requires close interaction with the Advancement and Research Units, Faculty Schools and Departments as well as University Services in relation to trust and gift administration. Integral to the role is the provision of quality advice to support gift implementation and forward planning and budgeting for optimal fund utilisation and donor impact.
Responsibilities include:
- Provide proactive advice and education on best-practice management that enables impactful use of all gift funds
- Prepare matters, including agenda, and items for consideration and analysis for the Faculty Gifts Committee papers and other relevant Faculty Committees, assisting in the assessment of faculty priorities in relation to the disbursement from trusts, long-term and expendable gifts and including the identification of emerging issues
- Establish and maintain necessary systems to record the annual decisions, details of expenditure, award recipients, history of donor, expenditure and spend down plans for each gift related to student awards
- Provide timely and relevant guidance to Heads of Department and Heads of School as to the best practicable application of funds in keeping with University Gift Policy, relevant procedure, and donor intent
About You
You demonstrate the ability to understand the compliance issues relating to the administration of gift agreements and the importance of philanthropy. You also demonstrate the ability to plan and coordinate activities, prioritise, monitor and evaluate workflows, and continually assess and improve effectiveness of financial processes. Your high-level written and verbal communication and interpersonal skills give you the ability to liaise and present information effectively to people at all levels.
You will also have:
- Degree qualified in a relevant discipline and or equivalent mix of education and significant relevant experience
- Committee planning & organisation skills, preparing & distribution of papers, managing invites, attendance and contributions at meeting
- Significant understanding of Student awards and administration processes for approvals, advertising and awarding
- Demonstrated project management skills, including an ability to work with constraints to achieve financial targets
- High level ICT skills including an excellent knowledge of Microsoft 365 particularly SharePoint & OneNote, and experience with fundraising/relationship management databases
