Job Description:

RESEARCH OPERATIONS
Provide direct supervision to CTMS Calendar and Budget Analysts by providing ongoing feedback and helping to establish goals for each individual. Develop training curriculum for and provide mentorship to CTMS Calendar and Budget Analysts. Analyze build process workflows and propose solutions as needed to OCR leadership. Create calendar and budget build SOP’s and work instructions in alignment with OCR goals. Provide regular reporting on calendar and budget build metrics and timelines to OCR leadership. Participate in establishing departmental workflows and standards with OCR leadership.

CALENDAR BUILD SUPPORT
Oversee protocol calendar builds within the CTMS application and manage requests in a timely and professional manner. Provide quality control for all established guidelines and procedures in order to facilitate protocol budgeting, protocol billing and subject management activities. For calendar templates acquired from an outside vendor, validates the calendar templates to ensure that they adhere to local requirements. Communicates with study teams, fiscal teams, and coverage analysis staff to ensure accuracy of each calendar. Makes edits as necessary throughout the calendar development process. Evaluate and make needed edits to existing calendars when protocols are amended. Manage task assignments amongst team as needed.

BUDGET BUILD SUPPORT

Oversee protocol budget builds within the CTMS application and manage requests in a timely and professional manner. Ensure all budgets are built in accordance with established guidelines and procedures in order to facilitate accurate invoicing and payment activities. Communicates with study teams, fiscal teams, and coverage analysis staff to ensure accuracy of each budget. Evaluate and make needed edits to existing budgets when protocols and contracts are amended. Manage task assignments amongst team as needed.

APPLICATION VALIDATION
Communicates application defects or workflows issues to CTMS management team, CTMS workgroups, and vendor representatives as appropriate.

Assists in testing and validation of the CTMS application during application upgrades and during the implementation of new functionality to ensure proper operation and freedom from defects. Carries out procedures to ensure that all systems, products and services meet organization standards and end-user requirements.

OTHER RESPONSIBILITIES
Participates in meetings and conference calls with OCR leadership, CTMS staff, CTMS vendor, study teams, and other related internal/external groups. Perform other duties as assigned.

Commensurate with education and experience

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or a high school diploma or equivalent and six years of experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

  • Experience working in the clinical research field
  • Experience managing a team of individuals, providing direction for team goals and personal development
  • Skilled in problem solving techniques, critical thinking and creativity, and possess aptitude to develop new solutions
  • Ability to assess, assist, confirm, educate, and monitor user expectations and satisfaction
  • Strong time management, organizational, documentation, attention to detail, and task follow up skills
  • Experience using Microsoft Office Applications
